Is it just a coincidence, or was the script written? She was pretty enough to be a Beverly Hills model, but that was not ever in her plans. I met Daisy when she was barely six months old, precocious little thing with a jolly smile and big blue eyes. I remember seeing her face light up one day as I turned on a table lamp. Deciding to have some fun, I turned it off and back on a few times as she giggled with each event as though it was major. She was fascinated by this activity; she never got bored with this phenomenon that we all took for granted. It really was not that surprising to hear her first words at nine months of age when she pointed to a light that had been flicked on and said with certainty, “Ders de light!”

Most of us live our lives using up electricity without a thought, but then there are those like Daisy, who want to know everything about it. Whether you are talking about a production line, a traveling salesperson, and yes even your office space; productivity is going to be the main driving factor which will allow your business to not only stay in business, but also experience growth year over year, month over month.

Here we are going to describe 23 ways to improve office productivity which will in turn allow you to realize higher profits, more output, and less money being wasted to lost productivity.

How does that work if we technically will have less “work time” by taking all these breaks?

It gives us time to collect our thoughts, time to let our mind roam, and even some time to talk and bounce ideas off of others.

So, instead of making employees hate working because you limit them to one break a day; let them take a short one every hour or two and watch the ideas and productivity outputs increase!

Not only should you be organizing your desk, but also the entire office.

A cleared out area allows for a clear mind to work at much higher levels of clarity. Whether you have a cubical office design or a more open concept; requiring all areas of the office to be clear on either a weekly or daily basis should be a must.

Sure, not everyone likes to clear. But, if you give employees 10-15 minutes to clean their area at the end of every day I’m sure most people will be happy to do so (especially if you explain it is part of your initiative to improve productivity in the office)!

Some people have a habit of checking their email every 10 minutes while they are waiting for someone important to get back to them.

In reality, the likelihood of them replying back right away even if you get back to them quick is slim. On top of that, it seems down right desperate.

By implementing 2-3 time periods (again, depending on the department) that people should check their email; you will end the constant refreshing of email pages by a lot of your work force. This allows people to get back to work and pay much more attention to their work at hand.

There can be multiple things wrong with your lighting system that might be throwing off people in the office.

First of all, if you have fluorescent lights then you might just have a few (or a lot) of lights in your office that flicker or even worse, buzz. This can cause eye stress, annoyance, and a general distraction.

On top of that, you may have either an under-lit or over-lit office. Both are bad, and it’s up to you to find the optimal light output for your office. This can be done by surveying employees on your lighting system and going from there.

Lastly, low quality light can be an issue. An easy way to not only improve the quality of light but also get rid of flickering and buzzing light issues is by upgrading your reduce your energy usage by up to 30% or so. Sounds like a win-win situation here!

Stop making it so difficult to get around. Make it easy to get to the bathroom, to the trash, or even to an outlet.

Time is money, and if people are having to spend time just to get to the most basic things you aren’t setting up your office for success (literally).

Using office design to increase productivity can be difficult, sure. But it doesn’t have to be all that complex. You could even get some people together to brainstorm what could be done to best optimize the space you have to best serve efficiency in the office. So while there will never be the “best office design for productivity” hack or tip (due to all offices being different), you can always use some general guidelines and common sense to help you out.

Wherever the noise may be coming from, while it may not effect everyone it may be effecting some people.

Now, this can be an easy fix if the noise is coming from within the office. To solve this issue, all you need to do is address the area of concern and fix it. But, what if the noise is coming externally on a frequent basis?

Well, you can do either of two things. Firstly, you can try to address or confront the external noise producer and see if there is anyway for it to stop at least during your time of work. If that doesn’t work, then you might need to install sound proofing technology into your walls. This can get pricey sure, but you’ve got to weight the benefits of having less noise in the office versus the cost it is going to be to make the upgrade.

Although you might think that you won’t be able to get everything in if you shorten meetings, you would be mistaken!

In fact, having shorter meetings make them much more focused and thus; more productive. Even if you have two meetings over one a week because they are shorter, it is much better to have two 10 minute meetings over one 30 minute one that lacks purpose.

On top of that, do you really need to have a meeting? Or, are you just holding meetings to “have a meeting?” If it is the latter, try scheduling meetings only when they are needed, rather just out of habit.

Maybe you shouldn’t implement this tactic specifically, but make a variation that works for your needs but still allows for productivity to be most optimal. And yes, there will be times when extreme concentration is required for more than 10-20 minutes, and obviously this doesn’t have to be a “set in stone” type deal. Instead, make it a generally accepted practice to partake in such method of break and work balancing.

Finding a good balance of long enough but not TOO long will be difficult, but start looking into deadlines and what exactly defines how far out they get set and start thinking about setting shorter (yet still doable) deadlines.

Studies show that standing will not only improve health, but it will also improve productivity. Focus goes up and thus more work can get done.

Guarding against surges requires a two-pronged approach: a whole-house suppressor to tame the big, dangerous power spikes and an individual circuit (or “plug-in”) surge suppressor for vulnerable appliances and electronic devices. Both types essentially act like pressure-relief valves. Normally they just sit there, allowing electric current to flow through them. But with higher-than-normal voltage, the devices instantly divert excess voltage to the ground wire. (The best ones react in less than a nanosecond.) As soon as voltage levels return to normal, the flow of electricity is restored, unless the surge was big enough to melt the fuse built into some units.

Typically, whole-house suppressors are hard-wired to the service panel, a process that takes a licensed electrician about two hours. Whole-house systems should be rated to stop a 40,000-amp surge, at minimum. Features to look for include thermal fuses, and lights or alarms that indicate when a device has taken a hit. Protection for an average house with 200-amp service will run about $500 — including a couple of hours of an electrician’s labor. Separate but smaller whole-house units are recommended for the phone and cable lines. These protect fax and answering machines, televisions, and modems.

By themselves, whole-house suppressors can’t stop surges completely; up to 15 percent of excess voltage may leak by. That’s where “plug-in” surge protectors come in. These buffers between individual appliances and wall outlets come in a bewildering array of options and prices. They range from $70 units not much bigger than a computer mouse to $350 units the size of a pizza box that guard all the components in a home theater. One of the most important aspects of enhancing safety is establishing a routine for the maintenance of electrical equipment in the facility. This is not only vital for optimizing the performance of the equipment, but also ensuring reliability, safety and preventing unnecessary downtime.

Insect Vision: Ultraviolet, Color, and LED Light, Marianne Shockley Cruz and Rebecca Lindner from the University of Georgia’s Department of Entomology write, “Experimental work supports the idea that color perception exists in insects and that they are especially responsive to the shorter wavelengths of the visible spectrum and UV light.” Wavelengths are measured in nanometers, and shorter wavelengths of light (less than 550 nanometers) can indicate ultraviolet (UV), blue, or green colors. Cruz and Lindner also cite work that confirms the correlation between UV light from the sun and moon and how certain bugs navigate Earth. Another point to remember about bugs is that certain types, such as mosquitoes, are attracted to heat and have thermal receptors to help them find it. All of this information is helpful for determining why bugs flock to certain light sources.

The color that is emitted from a light source is important because of its ability to attract bugs. As previously stated, shorter wavelengths (UV, blue, and green light) are more visible to bugs than longer wavelengths (yellow, orange, and red light) and, therefore, will draw them closer. Incandescent, compact fluorescent (CFL), halogen, and high-intensity discharge (HID) lights emit UV radiation that is attractive to bugs, and since certain types of bugs navigate by UV light from the sun and moon, a closer, brighter source of UV light can disrupt their orientation and draw them in. LEDs produce very little to no UV light, which makes them less visible to bugs. However, it is still possible for an LED bulb to produce shorter wavelengths of light (bluish-white/cool white color), which will be more attractive to bugs. Therefore, when browsing for LED lights that will attract less bugs, it’s important to choose a fixture that emits more wavelengths that are above 550 nanometers, such as warm white, ultra warm white, or yellow lights.

CCT is measured in Kelvin (K), and different temperatures on the Kelvin scale represent different colors. An LED bulb with a CCT below 3600K will emit warm or ultra warm white light that’s not easily seen by bugs. Incandescent, halogen, CFL, and HID bulbs waste most of the energy they consume—as much as 90 percent—in the form of heat. Bugs with thermal receptors can sense the heat released by these light sources. LED bulbs produce a minuscule amount of heat, which makes them less appealing to bugs.

Bug lights are simply light bulbs with a yellow coating that decreases the color temperature of emitted light. Because of the coating, bulbs will emit a peak wavelength of light that is around 550-600 nanometers. However, you don’t need a yellow-coated bulb to reduce the presence of bugs. Ecologist Michael Justice performed an experiment to determine the type of residential light that attracts the least amount of bugs. He used six lighting types inside of an insect trap each night during the summer. Justice also made efforts to equalize the effects of weather and the moon’s irradiance. His LED Z-Bug Bulb™ from NEBO is a bug zapper and an LED bulb in one. The bulb emits white illumination from its top and ultraviolet (UV) light from its caged center. The UV light attracts mosquitoes and other insects toward the bulb’s high-voltage electric grid and kills them on contact.

Because different types of bugs see different wavelengths, it is never guaranteed that an LED light won’t attract them. However, most bugs are attracted to short wavelengths of light and are especially drawn to UV light; they can see it better, and some use it for navigation. Bulbs that emit more short wavelengths of light (cool white/bluish color) will attract more bugs. Lights that emit a majority of longer wavelengths (yellow/orange/red colors) are less visible. Heat can also draw bugs into an area. LED lights produce little to no UV light and a minuscule amount heat, which makes them less attractive to bugs—so long as they emit longer wavelengths of light.
